TOHS Lancer Band Booster Board Job Descriptions

Executive Board
President
Provides general supervision and direction of the Boosters, prepares agendas for all business meetings, presides over all business meetings, coordinates/oversees all the activities of the Boosters, liaison between the Boosters and the school/district, and provides overall leadership to the Booster organization.
Vice President - Band
Assists the President in all duties, coordinates/oversees all activities related to Marching Band and Concert Band, assists school staff with coordination of all field trips, and supports the President in Booster activities.
Vice President - Color Guard
Assists the President in all duties, coordinates/oversees all activities related to Color Guard and Winter Guard, coordinates all Color Guard hosted events, coordinates procurement of costumes, prompts, food, and other necessary items for Guard events and activities, and coordinates with school staff regarding all Guard activities
Vice President - Drumline
Assists the President in all duties, coordinates/oversees all activities related to Drumline, coordinates all Drumline hosted events, coordinates procurement of costumes, prompts, food, and other necessary items for Drumline events and activities, and coordinates with school staff regarding all Drumline activities
Vice President - Jazz
Assists the President in all duties, coordinates/oversees all activities related to Jazz band, coordinates all Jazz band hosted events (including annual Dinner Dance Fundraiser), coordinates procurement of costumes, prompts, food, and other necessary items for Jazzevents and activities, and coordinates with school staff regarding all Jazz activities
Recording Secretary
Prepares and publishes minute for all business meetings, maintains records relating to all business meetings
Treasurer
Oversees the financials of the Boosters, coordinates with the Financial Secretary and Reimbursement Secretary to conduct financial transactions, coordinates the preparation of the annual budget, oversees completion of annual audit and tax filing, maintains all financial records
Financial Secretary
Make deposits into the Booster bank account, maintains financial records, coordinates with the Treasurer and Reimbursements Secretary to conduct financial transactions, manages the tracking of all donations
Reimbursements Secretary
Prepares all checks for disbursement following Booster by-laws, provides money for cash boxes, coordinates with the Treasurer and Financial Secretary to conduct financial transactions
Director of Membership
Collects and maintains membership information, oversees paperwork completion at orientation meeting, coordinate communication with elementary and middle school programs in conjunction with band staff, organize member events
Director of Equipment and Maintenance
Manages equipment crew, oversees maintenance, repair, and construction of equipment/props, coordinates with band staff and Director of Transportation to procure and transport equipment and instruments for all off-site events
Director of Transportation
Arranges for transportation of all needed equipment to and from all off site events, including securing rental vehicles
Director of Uniforms
Oversees the fitting, distribution, repair, modification and cleaning of all band uniforms, manages the uniform team to ensure volunteers are present at all times when uniforms are donned and doffed, oversees the organization of band uniforms, and ensures all uniform supplies are available at all times
Director of Food
Manages the procurement of food and beverage for all band events in which it is required, oversees food committees for large events
Director of Ways and Means
Oversees the fundraising activities of the Boosters, coordinates with band staff and Executive Board to execute fundraisers, and completes all paperwork required by the school/district as it relates to fundraising
Director of Publicity and Correspondence
Liaison between band and the community, oversee the taking and compiling of all videos and photos, oversee overall band messaging
Non-voting Executive Board
Parliamentarian
Oversees the annual election of board members, chairs the nominating committee, and ensures the Board conducts all business in accordance with Robert’s Rules of Order
Class Representatives
Point of contact for parents, provide grade-level specific information throughout the year, coordinates grade-level activities, and coordinates class basket donations for the Jazz Dinner Dance
Booster Alumni Director
Maintains network of Booster Alumni with current contact information, communicates with alumni regarding Band activities
Activity Chairs and Committees
Alternative Wear Chair
Manages the sale and distribution of alternate wear, such as the items on the booster web store
Auditor
Appointed by the Executive Board to perform an annual financial review of all bank statements, board accounts and controls or procedures. This includes preparing a report to be submitted to the school district.
Restaurant Nights Chair
Works with the Ways and Means Director to find and secures restaurants for band families to attend with a percentage returned to the band boosters as a fundraiser, in coordination with the school representative.
Sounds of Conejo Chair
Leads the organization of the Sounds of Conejo Marching Band event, which is usually the end of September or beginning of October. This includes communication with other bands, publicity, volunteers, etc.
Sounds of Conejo Food Chair
Organizes the sale of food at the Sounds of Conejo. This includes handling of the snack shack, purchasing food, etc.
Sounds of Conejo Parking Chair
Organizes and coordinates the parking of buses and trailers of bands participating in the Sounds of Conejo. This includes securing the parking lots as needed.
Social Media Chair
Maintains and creates posts for the band booster Facebook, Instagram and Twitter accounts. In addition, this individual will oversee or handle the maintenance of articles on the band booster website.
Webmaster
Works with maintaining the band website, administering the Google Booster users (email access) and other technology used by the Booster Board.
Sights of Conejo Chair
Oversees the annual, recruiting volunteers, leading chairpersons, and coordinating with Band Director and Instructional Staff all items pertinent to this event. Includes Drumline, Winter Guard, and Jazz Band. Usually held in March.
See’s Candy Fundraising Chair
Works with Ways and Means director to coordinate see’s candy fundraising
Bake Sale Chair
Recruites volunteers, procures items, sets up, and cleans up concessions for performances.
Water Chair
Assists Director of Food with procurement, transportation, and distribution of water (watering the band) for competitions and performances.
Sounds of Conejo Committee
Assists the Sounds of Conejo Chair in planning and executing the annual event
Jazz Dinner Dance Committee
Assists the Jazz Dinner Dance Chair in planning and executing the annual event
Uniform Team
Assists the Director of Uniforms in managing band uniforms, including being present before and after events in which students wear uniforms
Equipment Crew
Assists the Director of Equipment and Director of Transportation in the procurement, building, and transportation of all equipment and instruments necessary for band events
